How to register for the PhD title conferment procedure Abstract This document is intended to serve as a roadmap for everyone who faces the necessity of undergoing the registration for the PhD title conferement procedure. The authors don t take responsibility for the accuracy or timeliness of the contents presented. Apart from the enclosed collection of necessary documents, at the end one can find sample applications. The PhD title conferment procedure (przewód doktorski) is opened by the Faculty Coucil (Rada Wydziału) on a request of a candidate. The legal side of the procedure is regulated by various regulations, which can be found e.g. at the University webpages: http://www.studiadoktoranckie.uw.edu.pl/pl/doktoranckie/akty_prawne/ 1 The application for the registration for the procedure and appendices The whole procedure, crowned with the PhD title conferment, begins with handing in the application for the registration for the procedure (podanie o wszczęcie przewodu doktorskiego Appendix 1). In the application you specify: the title and the topic of the PhD dissertation the supervisor (and, if it applies to you, the assistant supervisor, or the co-supervisor in case of an arrangement with another academic unit). the discipline (at our Faculty it s always physics, so you write: Przewód prowadzony będzie w obszarze wiedzy: nauki ścisłe, dziedzinie: nauki fizyczne, dyscyplinie: fizyka.. In the case of OAUW the correct discipline is astronomy astronomia ). one of the modern foreign languages, which you would like to take an exam in, or the fact of having a certificate which exempts you from the exam. The list of certificates which can exempt one from sitting this exam, is available in the appendix 1 to the following regulation: Rozporządzenie Ministra Nauki i Szkolnictwa Wyższego z dnia 22 września 2011 r. w sprawie szczegółowego trybu i warunków przeprowadzania czynności w przewodach doktorskich,w postępowaniu habilitacyjnym oraz w postępowaniu o nadanie tytułu profesora, point 5 at the FUW webpage given above. If you have this certificate, it s necessary to enclose it to the application. The language may also be specified at the next meeting of the Faculty Council. one of the additional disciplines, which you would like to take an exam in. The possibilities are broad, provided that you find an examiner. The disciplines are specified in the above regulation of MNiSW, and the faculty at which the exam is sat, needs to be allowed to confer PhD titles in a given area. you have to include a brief outline of the dissertation which describes its goals (from 0.5 to 2 A4 pages). 1
You have to enclose the following appendices to the application. Note: All of the appendices, except the cv, have to be in Polish. Alternatively, you can file them in English, with transaltions to Polish. 1. the original Master diploma (or a certified copy thereof) 2. the application for an agreement for presenting the dissertation in English, or any other foreign language (optional) Appendix 2 3. the declaration of having publications - Appendix 3 4. the list of publications or creative professional works - Appendix 4 5. your CV including the scientific and didactic work 6. the reference from the supervisor, regarding the candidate, not the work 7. the original of the language certificate (optional) This set of documents needs to be submitted to the secretary of your institute/division, because it s the director of the institute/division who supports the application to the Faculty Council. It s best to do it at least 2 weeks in advance, before the Faculty Council meeting, which the issue is meant to be discussed at. The set of documents needs to be supplied to Ms. Anna Abramczuk (sekcja ds. pracowniczych dziekanatu) at least 10 days before that meeting. Note: It might be useful to consult the list of documents with the secretaries from the Dean s office (room 1.14), to see if everything s correct. 2 Examining Boards At the same Faculty Council meeting, which the conferment procedure is opened at, one might (but doesn t have to) appoint the Examining Boards. The Examining Board in the basic discipline (i.e. physics or astronomy) should consist of at least 4 people who have a dr. hab. or prof. degree in a given field in our case it is physics or astronomy (OAUW). Thus, apart from your supervisor, you need to find 3 physicists/astronomers to conduct this examination, including the chairman. The chairman will be common for all the Examining Boards (this is not required formally but is customary at least in IFT and IFD). The Examining Board in the additional discipline should consist of at least 3 people, one of which has a dr.hab or prof. degree in a chosen field (examiner). The remaining two people are the chairman and your supervisor. It might be worth appointing this board straight away when submitting the application for the conferment procedure opening, and passing this exam earlier, to have less work later on. Typical choices of the additional discipline include philosophy, economy, psychology or geography it these fields the examiners are already known and assigned. Currently (01.04.2014) the default examiners are: philosophy dr.hab. Mariusz Grygianiec, economy - dr hab. Stanisław Kubielas, psychology - prof. dr hab. Włodzimierz Oniszczenko, geography - dr hab. Artur Magnuszewski. Similarly, the Examining Board in a modern foreign language should consist of at least 3 people, one of which has to be a university teacher of this language. The referees of the thesis must not be members of the Examining Board. 2
3 The PhD title conferment procedure opened what s next? The further procedure is easy (at least formally ;-)). Assumming that the Examining Boards have already been appointed (it has to be done by the Faculty Council!), the order of matters looks as follows: 1. We pass the appropriate exams (before the acceptation of the PhD dissertation by the Doctoral Board). 2. We write the thesis and submit the dissertation (I don t know the details). The Faculty Council appoints the Doctoral Board for the thesis to be accepted and allowed to be defended (7 people, including two referees and your supervisor, or the supervisor and the co-supervisor). The Council appoints two external referees (from outside of the Faculty). 3. The referees have 8 weeks to review the work. 4. The Faculty Council, based on the opinion of the Board and the reviews, accepts the thesis, allows it to be defended, and sets the date of the defence. The defence can take place 14 days after acceptance of the thesis, at the earliest. 5. The public defence of the thesis takes place. 6. At the first Faculty Council meeting after the defence (minimum 10 days after the defence) the Council confers the PhD title. Victory! 3
